The type of personal information we collect
We currently collect and process the following information:
• Name and contact details, including email, phone number and address
• In some cases, such as for residential courses, we also process date of birth, gender and some medical information, as well as emergency contact details so we can organise accommodation and understand any medical requirements, which we keep confidential, during the course and can contact somebody in the case of an emergency.
How we get the personal information and why we have it
We collect personal information from you by email, or on an application or on-boarding form. Most of the personal information we process is provided to us directly by you for one of the following reasons:
•To facilitate communications, because you wish to engage us in coaching or teaching activities
•To give us medical and health details because you wish to undergo vocal rehabilitation or vocal health-related work
•To give us information about dietary requirements and allergies, because you wish to come to us on a residential course
•To give us information about voice part and gender identity for the purposes of choral residential activities
We do not currently receive personal information indirectly from any other agencies.
We use the information that you have given us:
•For us to be able to contact you easily
•For us to be able to host you on a residential course
•For us to be able to keep notes and records about your progress if you are being coached or taught
•For us to understand what your particular needs and requirements may be for accessibility
•For us to understand health and medical details for medical purposes where relevant to vocal rehabilitation work. It is extremely important that ‘category A’ data, such as medical details of any kind, is kept confidential, and we keep any such information confidential and secure. We only ask for medical information in the capacity of our vocal rehabilitation work, in which we owe a duty of confidentiality equivalent to that which would arise if we were a health professional. We only ask for any medical information that a client is willing to share with us and that may be deemed relevant to the work that we are doing. You have the right to choose not to share information.
•Questions about gender and voice parts are asked in order to facilitate management of choral ensembles, and to arrange shared accommodation on courses. Our mission to offer equal opportunity in a non-discriminatory model means due provision will be offered to all participants, whatever their gender identity, including transgender and non-binary students.
•We may share this information with agreed partners with your consent.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are that we have a legitimate interest.
You have the right to withdraw consent to us processing or holding your information by writing to us at info@nkvoiceworks.com
How we store your personal information
Your information is securely stored in a password protected Google Drive and/or in a password protected music studio system, ‘My Music Staff’.

We keep name and contact details indefinitely, unless you ask for us to remove it from the system, so that we can keep in touch and send newsletters. You may unsubscribe from this service at any time and we will remove your records as requested. Detailed information such as gender, date of birth or any relevant medical information can be kept for up to 5 years. We will then review the information and if we have had no contact with you, will dispose of your information by deleting it from our database.

Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
